Quotations
Quotations are prepared from the information supplied, including collection and delivery details, item descriptions and special requirements. They are estimates and may be revised if the actual job differs. Unless stated otherwise, quotations remain valid for seven calendar days from the date issued.
Information required from customers
Customers must provide complete and accurate information about collection and delivery addresses, contact details, access, parking, timing, the nature of the goods, approximate dimensions and weight, and any special handling requirements.
When a booking is confirmed
Submitting an enquiry or Request a Quote form does not confirm a booking. A booking is confirmed only when Ben Swift Courier Ltd expressly accepts it by email, text message or WhatsApp. A deposit or advance payment may be requested for certain bookings and will be confirmed before acceptance.
Collection and delivery instructions
Customers are responsible for ensuring that a person authorised to release or receive the goods is available at the agreed location and time, and that any entry, security or delivery instructions supplied are accurate.
Suitable access and parking
The customer must disclose access restrictions and, where reasonably possible, arrange suitable legal loading or parking. Parking, congestion, toll, permit, ferry, clean-air-zone and airport charges reasonably incurred may be passed on.
Waiting time
The first 15 minutes of waiting at a collection or delivery point are normally included. Further waiting may be charged at the rate stated in the quotation or booking confirmation.
Additional collections and deliveries
Stops not included in the accepted quotation may incur an additional charge based on the extra distance, time, access and handling required. Wherever reasonably possible, this will be confirmed before the additional work is undertaken.
Loading and unloading
The driver provides normal courier handling assistance. If an item cannot safely be handled by one person, the customer must arrange suitable help, access or equipment unless additional assistance has been agreed in advance.
Heavy, large, fragile or valuable items
Customers must disclose the approximate dimensions, weight, fragility, value and handling requirements of unusual items before booking. A different vehicle, extra personnel, equipment or an additional charge may be required.
Prohibited, dangerous or illegal goods
Customers must not provide unlawful, dangerous, prohibited, inadequately packaged or undeclared goods. Ben Swift Courier Ltd may refuse or stop work where goods present a safety, legal or operational risk.
Airport collections and deliveries
Airport work is available by prior arrangement. Parking, terminal, access, permit and other airport costs may be included in the quotation or passed on at cost. Additional waiting may be charged under the waiting-time provision.
Out-of-hours work
Work before 7am or after 10pm may incur an additional out-of-hours charge. Sunday and Bank Holiday work may also carry an additional charge. Any applicable charge will be confirmed before the booking is accepted.
Storage and overnight holding
Short-term or overnight storage may be available by prior arrangement, subject to suitable space and the nature of the goods. Conditions and charges will be confirmed in the quotation. Dangerous, unlawful, perishable or unsuitable goods will not be accepted for storage.
Cancellation and rescheduling
Customers should notify us as soon as reasonably possible. A reasonable charge may apply where a driver has been allocated or dispatched, time has been reserved, third-party costs have been incurred or the service has begun. Any charge will reflect reasonable costs and losses that cannot be avoided.
Delays outside our reasonable control
We are not responsible for delay or failure caused by events outside our reasonable control, including severe traffic disruption, road closures, extreme weather, accidents, official restrictions or failures by third parties. We will communicate material delays where reasonably possible.
Charges and additional expenses
Reasonable third-party expenses directly incurred in completing a booking may be passed on where applicable. Any material variation from the accepted quotation will be explained wherever reasonably possible before it is incurred.
Payment
Bank transfer is the standard payment method unless another method is agreed. Private and first-time customers may be required to pay in advance. Approved business-account customers must pay within the period stated on the quotation or invoice. Ben Swift Courier Ltd retains its statutory rights regarding late commercial payments.
Liability and insurance
Ben Swift Courier Ltd takes reasonable care when handling and transporting goods. Customers must disclose items that are fragile, unusually valuable or require special handling before booking. Liability for loss of or damage to goods will be assessed according to the circumstances, applicable law and any terms confirmed when the booking is accepted. Nothing in these terms excludes or limits liability where doing so would be unlawful.
Complaints
Complaints should be emailed to ben@benswiftcourier.co.uk with booking details and relevant evidence. We will acknowledge a complaint within two working days and aim to provide a substantive response within ten working days. If further investigation is required, the customer will be updated.
Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory rights available to consumers under applicable law.
